Getting Started with Multicollab: Prerequisites

Welcome to Multicollab!

Multicollab brings seamless, Google Docs-style collaboration to WordPress, right inside the block editor. It’s built for content teams, writers, and reviewers who want to work faster and more efficiently.

Before you get started, please ensure the following prerequisites are met. This will help you set up Multicollab smoothly and start collaborating without any hiccups.


WordPress Requirements:

  • WordPress version 5.6 or higher
  • Admin access is required to install and configure plugins

Editor Compatibility:

  • The Gutenberg Block Editor must be enabled

Note: Multicollab does not support the Classic Editor


User Roles & Permissions:

To use Multicollab’s collaboration features:

  • Users must be logged in
  • User roles must have permission to edit or comment on content (e.g., Administrator, Editor, Author)

Browser Compatibility:

Multicollab works best on the latest versions of:

    • Google Chrome
    • Mozilla Firefox
    • Safari
    • Microsoft Edge

Multicollab Plugin:

  • The Multicollab plugin must be installed and activated
  • Use the latest version of the plugin for the best performance

Getting Started with Multicollab

Follow this step-by-step guide to install, activate, and start collaborating with Multicollab.

Step 1: Install and Activate the Plugin

Automatic Installation (via WordPress Repository):

  1. Log in to your WordPress dashboard.
  2. Go to Plugins > Add New.
  3. Search for Multicollab.
  4. Click Install Now, then Activate.

Manual Plugin Installation:

  1. Download the latest version of Multicollab.
  2. In your dashboard, go to Plugins > Add New.
  3. Click Upload Plugin, select the ZIP file.
  4. Click Install Now, then Activate.

Step 2: Activate the Plugin and Set it Up

Here is a step-by-step instruction to activate the license.

After activation, configure basic settings to match your workflow.


Accessing Plugin Settings:

  • Navigate to Multicollab from the WordPress admin menu.

  • Configure the basic settings as per your requirements.

General Configuration

  • Enable Commenting: Let users add inline comments.
  • Role-Based Permissions: Choose who can comment, suggest edits, and resolve threads.
  • Email Notifications: Turn on alerts for new comments and replies.

Step 3: Add Inline Comments


  1. Open a post or page in the WordPress editor.
  2. Highlight any text.
  3. Click the Comment icon.
  4. Type your comment and click Comment.
  5. You can also reply, edit, or resolve comments.


Step 4: Use Suggestion Mode


Collaborate on edits without overwriting content.

  • Enable Suggestion Mode to track changes.
  • All additions, deletions, or edits are highlighted.
  • Teammates can accept or reject changes.
  • Combine with mentions and notifications for seamless editorial workflows.

🧱 Suggestion Mode works on compatible Gutenberg blocks only.


Step 5: Team Collaboration


Use real-time comments and mentions to collaborate efficiently.

  • Invite editorial users to collaborate and comment on a post just by mentioning them.
  • Use reply and resolve to keep threads organized.
  • Mentioned users receive an email notification with a link to the comment.


Step 6: Get Email Notifications


Instant email notifications make collaborations with your team easier and foster intra-group connectivity. So, you stay updated without checking WordPress constantly.

Receive emails for:

  • New comments
  • Mentions
  • Replies
  • Resolved or deleted comments

Admins can manage notification settings under Dashboard > Multicollab > Settings


Step 7: Invite Guest Collaborators


Let external users comment without creating full WordPress accounts. Email invitations with a unique link can be sent directly to editors, clients, and any other stakeholder from within each post.

  • Invite guests via email directly from any post.
  • Guests receive a secure link to access the content.

Here are two roles you can assign to a guest collaborator:

  • Commenter: Can add and reply to comments.
  • Viewer: Can only view content and comments.


Step 8: Manage User Permissions


Define access control for team members.

Choose who can:

  • Add or resolve comments
  • Suggest edits
  • Accept or reject suggestions
  • Disable commenting on specific content


Advanced Features


  • Suggested Edits: Suggest changes without modifying original content
  • Real-Time Collaboration: Multiple users work together at once
  • Activity Tracking: View full history of edits and comments
